Admissions Procedure

Accredited Courses

Proed College tasks a holistic approach to the application process and this is reflected in our policies and procedures. Enrolments are accepted online for applicants who meet the selection criteria and who provide the necessary supporting evidence.


Carefully read and complete the on-line application form. You will be required to attach some supporting documentation. Supporting documentation includes:
  • A Curriculum Vitae or Career History
  • Vocational Education Certificates and Statements of Attainment
  • University Certificates and Transcripts
Depending upon the course pre-requisites you may also be required to include:
  • Secondary school education results
  • References
  • Pay the nominated fee
Where the application is educated overseas, The National Office of Overseas Skills Recognition (NOOSR) is used to determine educational and
skills equivalencies.

Short Courses and Workshops

Unless specifically requested, you will not be required to provide supporting documentation.

Confirmation of your Enrollment

Applicants will receive from Proed College confirmation of receipt of the application. Provided all criteria is meet and supporting documentation attached, confirmation of enrolment will be advised by email within 48 hours of application.


If the applicant has applied for Recognition of Prior Learning (RPL), confirmation will include all units that have been exempted and advice to the reduction of fees if applicable (to a maximum of 50% of the total course cost). If RPL is declined the applicant has the right of appeal to the Appeals Committee (Refer Grievance Procedures) for consideration of further evidence. If the appeal is dismissed then the applicant will be required to complete those units and/or subjects.

Where exemptions have been granted due to RPL, the students academic record will be updated accordingly.

Where supporting documentation has not been received, the applicant will receive advice by email of what information is required and by what date. This is usually 10 working days from the date of application.

Where the applicant does not meet the criteria for the nominated course / competency or program, a Notification of Decline will be issued via email. This will generally occur within 5 working days of application. If the application is declined the applicant has the right of appeal to the Appeals Committee (Refer Grievance Procedures) for consideration of further evidence. If the appeal is dismissed then the applicant will be required to pay an assessment fee of $275. This will be deducted from any fee charged at initial enrolment and in accordance with our refund policy.

Payment of Fees

Students are requested to make full payment by credit card or bank transfer. Whilst Proed College will endevour to provide clear pricing please note that fees and charges relating to courses, modules or workshops may change. Once enrolment is confirmed and fees paid no further alteration will be applied. Proed College reserves all rights to alter, change, amend or waive its fees and charges structure.

Study Information


Academic Misconduct

Proed College defines academic dishonesty or academic misconduct as any type of conduct that occurs in relation to a formal academic exercise or assessment whereby the student / client obtains an unfair advantage. It can include plagiarism, fabrication, deception, cheating, bribery, sabotage or professional misconduct.

A breach of academic conduct will result in the alleged person being reported to the Complaints Officer for investigation and may be subject to scrutiny through the Academic Appeals Committee.

The Academic Appeals Committee shall make a determination which considers the intent of the student, the seriousness of the misconduct used and any previous history of academic dishonesty. Each case of alleged academic misconduct will be assessed individually and if penalties result, shall be implemented in a consistent and appropriate manner.

Changes to Training Packages or Competency Standards

From time to time training packages or specific competency standards are altered to reflect developments in industry and work practices. This may result in Proed College having to rework, alter, amend or withdraw courses, modules or workshops.

When this happens all RTO's are granted a transition period, which is usually twelve months. Proed College will advise clients / students when this occurs and how we intend to mange the transition process.

Competency Based Training and Assessment

Competency based training emphasises what a person can do in the workplace. For a person to be assessed competent they need to demonstrate an ability to perform tasks and duties to the standard expected in employment.

Assessment is the process of collecting evidence and making judgements about whether a student has demonstrated competency as defined in a training package. Competency based training uses standards that are standards developed in consultation with, and endorsed by, industry. They outline the skills, knowledge and attitudes required to operate effectively and efficiently within a specific industry or profession.

When presenting evidence for assessment, it must meet the following criteria:

  • Current. All evidence produced must be current.
  • Valid and Relevant. The evidence presented by you needs to specifically address the competencies to which you are being assessed.
  • Of Quality and Authentic. The evidence should prove how you apply your skills and knowledge on the subject. The evidence presented must be genuine, and reflect your role in the situations concerned.
  • Sufficient. You must provide sufficient evidence to support and cover all elements of the assessment.

Continuous Improvement

Proed College is committed to a process of continuous improvement in all areas of its operations including academic and student services, corporate and financial governance and general facilities. We will do this by adherence to the following principles:

  • A commitment by all representatives of Proed College to improvements in process, courses, products and services;
  • Input and involvement of all representatives and students / clients in identifying and implementing quality improvements; and
  • Course feedback (including unsolicited feedback from students / clients) as the basis for identifying and prioritising improvement opportunities. Students / Clients are encouraged to provide feedback to Proed College.
Feedback will be collected via Student / Client surveys as well as industry consultation (in course development and review) and interviews with representatives of Proed College and other stakeholders.

Recognition of Prior Learning (RPL)

Recognition of Prior Learning is acknowledgement of previous competencies or qualifications obtained as well as work and life experiences. One of the major benefits of RPL is to remove duplication of learning thereby encouraging individuals to continuously upgrade their formal qualifications.

Proed College acknowledges other registered training organisations that provide nationally recognised qualifications. If you are applying for recognition through the RPL process you will be required to submit relevant evidence with your application. 

Student Deferment or Withdrawal

Deferment of Studies

Before you decide to defer please contact Proed College to ensure there are no possible academic consequences. You must submit in writing the effective date of deferral and the date studies are to recommence. Current contact details must also be included in the deferral request. Students may only defer once (when enrolled in the course) for a maximum of six months from date of enrolment. Students who fail to recommence after six months will only be entitled to a refund of 25% of the course or module fee.

You may formally defer from a course or module of study before the end of the fourth week, from date of enrolment. Special circumstances will be considered, meaning events that are outside the students control or in the event of illness where medical certificates produced are of sufficient severity to significantly interrupt the students work.

Withdrawal from Study

Students withdrawing from a course or module are required to inform Proed College in writing before the end of the fourth week, from date of enrolment. Up until the fourth week students will be eligible for a refund up to 75% of the course or module fee. Students who withdraw after this date will only be eligible for 25% refund (up to eight weeks) of course or module fees and no refund thereafter.

Students who enrol in a new module or course within six months of date of withdrawal are eligible to a 25% discount on fees applied.

Students who chose to withdraw from a module or course will have a notation placed on their file.

Student Information and Records

All dealings between Proed College and students are confidential. Student records are protected by our Privacy Policy.

Proed College will not disclose any information to third parties without the express consent of the student. For example if your employer would like to see your progress to outcome of studies then you must complete and sign a release form allowing Proed College to do so. Proed College will not accept verbal instructions. All requests for release of information must be provided in writing.

We maintain the following documents and records about students:
  • Application forms and all supporting documents including your academic transcripts and work history
  • Confirmation of your enrolment
  • All correspondence, including appeals, grievance, complaints or special consideration applications
  • Academic results relating to study with the College


Access to your Records

In order to access your student records, Proed College requires a written request addressed to the Director of Courses. You may upon request obtain copies of documents held by Proed College.

If after viewing the file you believe some information is inaccurate, then you should write to the Director of Courses detailing your concerns and if applicable, ask for corrections to be made.

You may request access again to view the file to ensure changes have been made.

The College holds all records and documents pertaining to the student on a secure data hosting facility. Regular backups are undertaken on a daily, weekly and monthly basis. All academic records are archived for an indefinite period.

Student Assignments and Assessment

Email is the preferred method for submission of assignments. You will receive an email notification of your trainer / assessor contact information, usually within seven working days of enrolment. 
 

Privacy and Student Records

Proed College abides by the Privacy Act 1988 which is designed to protect individuals’ personal information. It does this by restricting the ways in which personal information may be used.

Personal information is information or opinion about an individual whose identity is apparent or can easily be ascertained from the information or opinion.

Sensitive personal information is information or opinion about a person’s racial or ethnic origin, political opinions, membership of a political, trade or professional association or a trade union, religious or philosophical beliefs or affiliations, sexual preferences, criminal record or health information.

Information We Collect

You should only collect personal information that you need and only use that information for the primary purpose(s) for which you collect it. These are:
  • Inquiry for eligibility to a course;
  • Enrolment in course;
  • Providing an academic transcript; and the 
  • Operation or our business.
This policy applies to all the information we collect, whether from clients, students, or others.

Information we may Disclose

We do not use or disclose the information for any other purposes without a person’s consent. In particular, we do not:
  • Trade, rent or sell personal information; or
  • Provide personal information to anyone other than their appointed representatives without consent.

Sensitive Personal Information

Stricter requirements apply to sensitive personal information. We do not collect or disclose sensitive information without consent unless required by law.
